Scan Profiles

Scan profiles let you group your products into separate scanning schedules. Run daily scans for high-priority items and weekly scans for everything else — all from one workspace.

What is a Scan Profile?

A scan profile is a scheduling group for your tracked products. Each profile has its own scanning frequency, timezone, and start time. Products assigned to a profile will be scanned according to that profile's schedule.

Think of scan profiles like alarm clocks for your price checks — each profile rings at a different time and scans a different set of products.

Why use multiple profiles?

  • Scan high-margin products daily while scanning the rest weekly
  • Schedule scans during off-peak hours in different timezones
  • Run quick ad-hoc scans on a subset of products
  • Separate seasonal items from your core catalog

📋 One product, one profile

Each product belongs to exactly one scan profile. When you assign a product to a new profile, it is automatically removed from the old one. This prevents duplicate scanning.

🔄 Independent schedules

Each profile has its own frequency (daily, weekly, fortnightly, monthly, or custom), timezone, and start time. Profiles run independently of each other.

⚡ Ad-hoc scans per profile

You can trigger a scan for any profile at any time without waiting for the schedule. Only products in that profile will be scanned.

The Default Scan Profile

Every workspace starts with a Default scan profile. This profile cannot be deleted and serves as the catch-all for products that haven't been assigned to a custom profile.

Default profile behaviour

  • ✅ All new products are automatically assigned to the Default profile
  • ✅ Products removed from custom profiles return to the Default profile
  • ✅ You can change the schedule, timezone, and frequency of the Default profile
  • ✅ You can rename the Default profile
  • ❌ You cannot delete the Default profile

Tip

If you only need one scanning schedule for all your products, the Default profile is all you need — no extra setup required.

Creating a New Scan Profile

Create additional profiles when you need different scanning schedules for different groups of products.

Open Settings

Navigate to Settings from the main menu and select the Scan Profiles tab (this is the default tab).

Click "Create Profile"

Click the Create Profile button at the top of the page. A dialog will appear asking you to name the new profile.

Name your profile

Enter a descriptive name for the profile (e.g., "High Priority Products", "Seasonal Items", or "Weekly Electronics"). Click Create to confirm.

Configure the schedule

Your new profile will appear in the list. Click on it to expand the settings panel where you can configure the scanning frequency, timezone, and start date.

Profile limits

You can create as many scan profiles as you need. However, we recommend keeping the number manageable (typically 3–5 profiles) for easier administration.

Profile Settings

Each scan profile has the following configurable settings. Click on a profile card to expand its settings.

🕐 Scan Frequency

How often the profile's products should be scanned. Available options:

  • Daily — Every day at the configured time
  • Weekly — Once per week
  • Fortnightly — Every two weeks
  • Monthly — Once per month
  • Custom — Set a specific cron-like schedule

🌍 Timezone

The timezone used to determine when the scan starts. Select the timezone that matches your business hours or the market you're monitoring.

📅 Start Date

The date and time for the first scheduled scan. Subsequent scans are calculated based on this start date and the selected frequency.

🔘 Active / Inactive

Toggle a profile on or off. When inactive, scheduled scans for this profile are paused. Products remain assigned to the profile but won't be scanned until you re-activate it. You can still trigger ad-hoc scans on inactive profiles.

Assigning Products to a Profile

Products can be assigned to scan profiles in two ways: individually from the product edit drawer, or in bulk from the product catalog.

Default assignment

All products are assigned to the Default scan profile by default. You only need to reassign products when you want them on a different schedule.

Each scan profile card shows a count of assigned products at a glance. When you expand a profile, you can see a summary of its assigned products.

Changing Profile for a Single Product

To reassign a single product to a different scan profile:

Open the product

Navigate to Products and click the edit icon (pencil) on the product you want to modify. This opens the product edit drawer.

Find the Scan Profile section

Scroll down in the edit drawer to find the Scan Profile section. It shows which profile the product currently belongs to.

Select a new profile

Click the dropdown and select the profile you want to assign this product to. The dropdown lists all available profiles in your workspace.

Save your changes

Click Save to apply the change. The product will immediately move to the new profile and will be included in that profile's next scheduled scan.

Tip

Need to move many products at once? Use the bulk edit feature instead.

Bulk Editing Profile Assignments

When you need to move multiple products between profiles, use the bulk edit feature in the product catalog.

Select products

In the Products page, use the checkboxes on the left of each row to select the products you want to reassign. You can also use the header checkbox to select all products on the current page.

Open bulk edit

Once you've selected products, a Bulk Edit bar appears at the bottom of the page showing the number of selected items. Click the Bulk Edit button to open the bulk actions dialog.

Choose Scan Profile action

In the bulk edit dialog, enable the Scan Profile action by checking its checkbox. Select Set to assign a profile, or Clear to reset products back to the Default profile.

Select the target profile

If you chose Set, select the target profile from the dropdown. All selected products will be moved to this profile.

Apply changes

Review the summary of changes at the bottom of the dialog, then click Apply Changes. The products will be reassigned immediately.

Important

Bulk reassignment is immediate and cannot be undone in a single action. If you need to revert, you'll need to select the products again and reassign them to their previous profile.

Running a Scan for a Profile

There are two ways to scan products in a profile:

⏰ Scheduled scans

When a profile is active and has a schedule configured, scans run automatically at the scheduled times. No manual action is needed — the system handles everything.

▶️ Ad-hoc (manual) scans

Click the Run Scan button on any profile card to trigger an immediate scan for all products in that profile. This is useful when you need fresh pricing data right away without waiting for the next scheduled scan.

Tip

Ad-hoc scans work even when a profile is inactive. This lets you run one-time price checks without enabling the recurring schedule.
